Introduction

As an Employee, Manager, or an Employer we come accross many a times that the system is missing in our company. ther may not me movement register for goods, attenedance not signed, no minits of meeting, there will not be stock updation, Entry in stores missing, Leave information not recorded, and so on.

Why this is happening?

As human being we are not 100% on our systema and duties. We do errors. some time it proves ordianary and some times it prove vital.

How to Improve our systems?

We need to fix timings for audit from various level. We need to introduce department heads and if we have already enough department heads then we need to fix the responsibility of auditing their records internally and across their departments.

How this will help? how to motivate our team?

At first evry step will be difficult to implement. But later after doing 2 or 3 audits we come to knwo that everyone made a practice of doing their work with a great sinciority. Our production will increase. We amy able o give better customer support and we are able to give beter answers when asked by our seniors and our customers. This will satisfy both who enquires and who provides the information. Because we record every piece of information.

For motivation we could start with giving gifts, holiday trips for department who met very few NC's or simply "non-confirmity" . Usually, an NC or non-confirmity is raised when there is an issue or there is no enough information recorded or simply the information recorded does not have date or a signature.

When we go for international standards on maintaining systems we may need to do a detail study on it and do a tougher audit internally and externally by hiring auditors outside. But to start with it is better to audit ourselves by our senior employees.

In today's world we can bring change in our organisation by implementing systems thru computers. Computers can help you in restoing the information when we use softwares for every stage of work.
